
Step 1: Create a Folder
Start by setting up a folder and naming it after the specific fleet itemβbe it a spider crane, van, or excavator. Use the fleet number or registration number for easy identification.
Step 2: Set an Expiry Date (Optional)
You can set an expiry date for the folder. Post-expiry, users scanning the QR code will see a ‘no access’ message. Rest assured, nothing gets deleted.
Step 3: Add Documents
Inside your folder, click on the ‘Add Document’ symbol to upload PDF files. Depending on your CapjaDocs package, you can upload different sizes of documents. Commonly added documents include LOLER, PUWER, and GA1 certificates, user manuals, and training documents.
Step 4: Add Links
Want to include a training video? Simply click on the ‘Add Link’ symbol and paste the URL of the video you wish to share. (YouTube, Vimeo etc.)
Step 5: Edit Content Names
Click on any document or link to rename it. This ‘friendly name’ is what users see when they scan the QR code.
Step 6: Generate QR Code
Once satisfied with your folder’s content, click on the QR code symbol. You have a couple of options, so you can download a PDF or image of the QR code to your PC, ready for printing.
Step 7: Ready for Placement
After printing, you have various options for placing the QR code on your fleet items. You could opt for a vinyl sticker on the side, place it on a keyring, or even insert it into a transparent plastic wallet and stick it inside the window of the machine.
Managing Content
You can easily manage the content by renaming, replacing, or setting expiry dates. You’ll receive email alerts for content nearing expiry. Set content as active or inactive to control what users see upon scanning.
